ezAcquire IS

ezAcquire is an image system specifically developed for high-volume image storage and retrieval. It provides a complete set of features, including document scanning, image intake, and image file storage, querying, and retrieval.

Specially Designed to Store Large Amounts of Images

Based on the index and storage year, different Document Classes are defined, with each Document Class being stored in multiple Pack Files over time. This approach makes it easier to remove or archive outdated data.
It supports multiple repositories simultaneously, making it easy to expand storage capacity as needed.
In application, more recent image Pack Files can be stored on faster storage devices (such as SAN Storage), while older image Pack Files can be moved to more affordable storage devices.
Images on the same page can be stored in both black-and-white and color formats, or only one of them, to improve retrieval efficiency and flexibility for other applications.

Powerful scanner

It supports both TWAIN and ISIS interface standards, allowing the use of any commercially available scanner for scanning.
It offers a scanning pipeline configuration feature, enabling the definition of multiple distinct scanning pipelines for different document types or application requirements. These pipelines are specified in scanning profile configuration files, optimizing the accuracy and reliability of the scanning process.
The Intelligent Document Separation Engine offers various methods for document separation, including index-based separation, fixed-page separation, page-turn separation, and blank-page separation, all based on recognized index values.
Customizable verification criteria can be defined, such as form page count checks, required forms, and scanable form groups, among others.
It provides a directory-based import method to simulate scanner image imports, supporting formats such as PDF, TIF, PNG, JPG, and others.

Role-based access control (RBAC) framework

The system supports both single-role and multi-role modes, with flexible configuration options to meet specific requirements. It allows the assignment of different operational functions and access permissions to form documents based on the needs of each role.
The system includes a form grouping feature, allowing similar forms to be organized into groups based on access permissions. These groups can then be assigned to roles, eliminating the need to configure individual form permissions for each role. When new forms are added or existing forms need to be modified, only the form group needs to be updated, rather than adjusting permissions for each role individually. Additionally, it supports page-level permission settings.

Customizable Query Screen

The system allows users to generate query screens automatically based on departmental or operational requirements. With just a few simple configuration steps, the system creates tailored query interfaces to meet specific needs.
For each query screen, users can customize different combinations of query conditions, the fields displayed in the query result list, and the detailed data items for each document.

Information Security and Auditing

End-to-end image encryption mechanism (supports AES 256). The system encrypts the image as soon as the upload process begins, and stores the encrypted image within the image system.
Complete usage records are maintained for all processing operations, documenting the who, what, when, where, and what (the item) to comply with personal data protection laws regarding the use of documents containing personal information.

Account Opening Document Scanning

At the end of each day, branch staff scan the physical account opening documents. After the supervisor reviews and verifies the completeness of the case files, the documents are uploaded into the image system. Once scanned, the physical documents can be archived, reducing the risk of document loss.

Integrated with the account opening system, the status is updated after the scanning is completed. Reports can be generated to monitor the scanning status of account opening documents across branches, preventing situations where documents are not scanned even after the account has been opened for some time.

The system provides a web-based image retrieval and query function, allowing branches to search for account opening document images using customer ID, account number, or account opening date. There is no longer a need to search for and retrieve original paper documents. The retrieval time is reduced from several days to just a few seconds. Additionally, the need to physically transmit documents is eliminated, significantly reducing the risk of document loss during the process.

Regular Document Scanning Review

Branch staff will regularly review the scanning of physical documents. After the supervisor verifies the completeness of the case files, the documents are uploaded into the image system.

The system provides a web-based image retrieval and query function, allowing branches to search for periodic review document images using customer ID and review date.

Integration with the KYC System

Provides integration with the KYC system via Web Service, enabling the import of data for evidence preservation and operational querying purposes.

Applied in account opening and remittance processes, the system scans identity documents (such as ID cards, passports, and residence permits), extracts data such as document ID, name, and address, and then sends the information to the core system while archiving the images.

Document Scanning

Scanning personnel scan the physical documents, which are then reviewed by quality control staff for completeness. Once verified, the documents are uploaded into the image system.

Integrated with the intake system and core system, the scanning status of the case is updated after scanning is completed, helping to prevent cases from remaining unscanned after a certain period of time.

After scanning, cases can be reviewed with the image files and application data entered. If a case contains multiple documents, users can easily switch between them for viewing. Entering data for the case no longer requires physical documents, reducing the time spent on document transmission and accelerating case processing.

For specific forms, designated fields are highlighted for data entry. The data entry personnel can visually enlarge the relevant field for accurate input. As the text input box moves within the system, the image automatically shifts to the corresponding field, eliminating the need for the user to search for the field. This functionality saves time otherwise spent searching for information, significantly improving the efficiency of case data entry.

Signature image comparison rules are configured based on business processes. The system automatically retrieves the signature images for comparison according to these rules, reducing the time spent by reviewers in manually searching for images. This also ensures consistent comparison standards across all users.

Online Review

When reviewing cases in the core system, the system directly retrieves the case images for review. The case is examined visually, reducing the time spent on physical document transmission and accelerating case processing.

If a case requires approval or co-signature from a supervisor or other business units, the approvers can directly review the case images, eliminating the need for physical document transfer. This saves significant time on paper transmission, especially across departments or branches, speeds up the approval process, improves efficiency, and provides policyholders with a faster and higher-quality service.

Physical Document Archiving

Physical documents can be archived immediately after scanning. The system records the unique key value for each document (such as policy number, policyholder, etc.), as well as detailed logs of every person, time, and location involved from the intake process onwards. The current location of the document is also tracked, significantly reducing the risk of document loss.

Also offers a physical document lending feature, integrated with the supervisor review process, to thoroughly record the status of important policyholder documents.

To comply with privacy regulations and meet policyholder requests, physical documents are returned to the policyholder, with a record created in the system to maintain an audit trail.

According to regulatory requirements, documents that have reached their retention period should be destroyed. The system provides a feature to query documents that are due for disposal and records the destruction in the system.

Multi-channel Integration

In addition to paper-based submissions, the system can integrate cases from various channels such as mobile insurance, telemarketing, affiliate networks, online insurance, remote insurance, and more. All cases are written into the image system, allowing for a unified view of data from all submission channels, centralizing case image storage for diverse integration.

Policy Issuance Image

The list of policy numbers to be issued is sent to the image system, which retrieves the required images based on predefined rules, arranges them in sequence, and provides them to the policy issuance printing program for use.

The policy issuance process is automated, eliminating manual intervention. From the intake of scanned documents to policy issuance, the entire workflow is managed through the image system, with zero paper-based transmission. This reduces significant transmission time, quickly delivers policies to policyholders, and creates a fast, efficient, and high-quality corporate image.

Electronic Policy Storage

After the policy PDF file is generated by the policy issuance printing program, it is additionally stored in the image system for online access and retrieval by policyholders.
